A floor plan that matches your room

In the optional captain mode, you lay out the floor plan once in the admin panel: create zones for each part of your room, such as the main hall or a terrace, and drag tables into place so the screen matches the room your captains walk.

Each table on the floor plan shows at a glance whether it is open, how long it has been open and whether it has unpaid orders. If you set a planned duration for a sitting, the table is flagged as over time when it runs past it. Tap a table to see its orders, open or close it, or download its QR code.

Table sessions (captain mode)

In captain mode, a table’s QR accepts orders only after staff open the table, so nobody can order for a table your team hasn’t opened. Owners, managers, counter staff and captains can open and close tables; kitchen logins can’t. A table has only one open session at a time, and a guest who scans a closed table sees a message that it isn’t open yet, whether they want dine-in or takeaway.

One tap on “close all” turns every table’s QR off, for example during a Wi-Fi outage. Sessions don’t expire on their own: a table stays open until staff close it. Table sessions are switched on per restaurant on request, as part of captain mode, and they are one of the ways KioSync keeps unwanted orders out of your kitchen.

A running bill for every table

In captain mode, every order placed while a table is open joins that table’s running bill, whether the guest ordered from the table QR or a captain ordered for them. Captains can add orders to a table from the floor plan, see everything the table has ordered and mark the bill paid when the guest settles up, recording whether they paid by cash, UPI, card and so on.

A table can’t close while it has unpaid orders, so unpaid orders stay in front of your team until someone settles them. Staff see every order on an open table and can cancel one while it is still queued. Today’s session history shows every sitting so far. Paid table bills follow the same GST billing as every other order.

Mark dishes unavailable without menu access

When the kitchen runs out of something mid-service, captains don’t need to find a manager. In captain mode, the Availability view lets captains mark dishes sold out, and back in, without menu-edit rights, so they can’t change prices or descriptions by mistake.

Because QR, counter and captain ordering share one menu, a dish marked sold out is off all three at once, and KioSync refuses it at checkout even if a guest’s screen is out of date.

The right access for each role

Every KioSync restaurant, whether or not it uses captain mode, has five staff roles: owner, manager, counter, captain and kitchen. Each staff member gets their own login, and each role sees only what it needs; managers, for example, can’t see sales or staff data.
